Quotation and Invoice Software for Event Planners in India

An itemised event quotation turning into a GST invoice with no retyping

Good quotation software for event planners turns an enquiry into a clear, itemised quote, lets the client accept it, and converts the accepted quote into a GST invoice without retyping. It should handle deposits and revisions, keep every version, and show you who has paid what. If a tool only makes pretty PDFs, you still have the spreadsheet problem.

Most small event companies in India still quote in Excel, Word or WhatsApp messages. It works until the client asks for a change, a vendor price moves, or nobody remembers which version was approved. This guide explains what to look for so you can judge any tool, ours included.

Why do Excel and WhatsApp quotes break down?

What should an event quotation contain?

Clients compare quotes line by line, so structure matters more than design. Use the same layout every time.

Section What to include Why it matters
Client and event details Name, contact, event type, date, venue, expected guest count Prices depend on guest count and date; write the assumption down
Itemised lines Service, quantity, unit rate, line total (decor, sound, lighting, staff, catering coordination) Lets the client remove or swap one item without re-quoting everything
What is excluded Items the client pays directly (for example venue rent or outside catering) Avoids "I thought that was included" disputes
Taxes Whether the figures include GST or GST is added on top Clients compare total payable, not base price
Payment schedule Advance amount, balance due date, accepted modes Sets expectations before booking
Validity and terms Date until which prices hold, cancellation and change rules Protects you when vendor rates move
Version and date Quote number and revision number You can always prove what was agreed

How does GST affect event quotations in India?

Event management services are generally billed under SAC 998596 at 18% GST, split as CGST and SGST within a state or charged as IGST between states, according to commercial GST guides (ClearTax). Treatment can differ when a planner bills outdoor catering or other components separately, and those guides are not official notifications. Ask your CA how to bill your own package structure, then check that any software can follow that structure instead of forcing one flat rate.

What to test in a demo: can you show GST clearly on the quote, print the right tax lines on the invoice, and handle a client in another state?

What should happen between "quote sent" and "invoice raised"?

The flow should be one chain, not three separate documents:

  1. Enquiry is captured with date, guest count and budget.
  2. Quote is built from your own saved items and rates.
  3. Revisions are saved as new versions, never overwritten.
  4. Acceptance turns the quote into a booking and blocks the date on your calendar.
  5. Advance and balance are recorded against that booking.
  6. Invoice is generated from the accepted quote, with the payments already shown.

If any step needs copy-paste, that is where mistakes enter.

How do you handle deposits, part payments and expenses?

Record every payment against the booking: amount, date, mode and who received it. Record vendor costs against the same event so you can see margin before the event, not after. A quote tool that has no place for expenses will tell you what you charged but not what you earned.

How Anant AGI helps

Anant AGI is building event management for planners, venues and vendors, and the underlying event platform (where businesses register and list) runs live at event.anantagi.com. The direction is the same one behind every part of Anant AGI: a lead list, a quote builder with GST, a calendar with double-booking protection, bookings, manual payment and expense records, and team roles with an activity log. Quote-to-booking-to-invoice as one unbroken chain is still being connected into the main event software product; check the current status before promising a timeline to a client.

FAQ

Is Excel enough for event quotations?

For a handful of events a year, yes. It stops working when you have several live enquiries, revisions and a team, because versions and payments are not linked to each booking.

Do I need GST software to quote events?

If you are GST-registered, your invoices must show tax correctly. Software helps by applying the same tax rules every time. Confirm your exact treatment with a CA.

Can a quotation tool replace my accountant's software?

No. It prepares quotes, bookings, payments and invoices for your event business. Your accountant still files returns; a good tool lets you export the data.

How do I stop clients from comparing only the lowest total?

Show an itemised quote with clear inclusions and exclusions. Items the cheaper quote leaves out then become visible.

What is the difference between a quotation and a proforma invoice?

A quotation is an offer of price and scope. A proforma invoice is a request for advance payment before the final tax invoice. Ask your CA which one you should issue at each stage.
